THE 5S METHODOLOGY: OUR STANDARD OF EXCELLENCE

At SciBiz Informatics Inc., we adopt the 5S Methodology—a globally recognized system for workplace organization—to maintain a safe, disciplined, and high-performance environment. Adhering to these five principles is a shared commitment required of all team members, including Regular, Probationary, and Intern staff.

SORT (Seiri) To separate the essential from the non-essential.

  • Purpose: To clear the "mental and physical clutter" that slows us down.
  • Action: Distinguish between necessary and unnecessary items.
  • Standard: Workstations must remain free of clutter. If a document, broken cable, or old snack hasn't been used in 3 months, throw it away or archive it.
  • Red Tagging: Put a red sticker on items you aren't sure about. If no one touches them for a week, they leave the office.

SET IN ORDER (Seiton) To organize with purpose.

  • Purpose: To ensure any "Buddy" can find what they need instantly, reducing frustration and delays.
  • Action: A place for everything, and everything in its place.
  • Standard: Shared tools (staplers, keys, petty cash) and files must be labeled. A "Buddy" should be able to locate any document within 30 seconds.
  • Implementation: * Organize the items you kept in Step 1 based on frequency of use.
  • Labeling: Use a label maker for folders, drawers, and even cable ports.
  • Layout: Frequently used items should be within arm's reach.

SHINE (Seiso) To clean and inspect.

  • Purpose: To take pride in our equipment and identify safety risks (like frayed wires) before they become problems.
  • Action: Cleaning is inspection. Cleaning and inspecting the workplace to identify problems before they become hazards. While wiping your desk, look for frayed wires or leaking AC units.
  • Standard: Every team member is responsible for the cleanliness of their own area. We inspect our equipment (cables, monitors) as we clean to ensure they are in good working condition.
  • Shared Spaces: The "Buddy System" pairs are responsible for ensuring the common Admin/Accounting printers and files are dust-free.

STANDARDIZE (Seiketsu) To create uniform habits.

  • Purpose: To create a consistent way to maintain the first three S’s and to ensure that "the SciBiz way" is the same across all departments.
  • Action: Uniformity across the office.
  • Standard: We use the official SciBiz labeling and filing system so that every department operates with the same high level of organization.

SUSTAIN (Shitsuke) To practice self-discipline.

  • Purpose: To maintain these standards daily, making excellence a habit rather than a chore.
  • Action: Self-discipline and habit.
  • Standard: We perform our "5-Minute Daily Routine" before leaving the office. 5S is a core part of our professional identity and is reflected in our performance reviews.
