LOST OR DAMAGED CARDS
Each employee is responsible for the safekeeping and proper maintenance of their issued NFC Card and Lanyard. These items are company property and are essential for security and payroll accuracy.
Reporting Loss or Damage
- Immediate Notification: If a card is lost, stolen, or malfunctioning, the employee must report it to the Admin Staff or Authorized Officer within one (1) hour of discovery.
- Security Protocol: Immediate reporting is critical so the Admin can deactivate the lost card in the system to prevent unauthorized access to the office by non-employees.
Replacement and Fees
If a card or lanyard is lost, stolen, or damaged due to employee negligence (e.g., snapping the card, losing it in a public place, or improper storage), the following replacement fees will apply:

Payment Method:
The fee must be paid directly to the Admin/Accounting department, or the employee may authorize a one-time salary deduction.
Malfunctioning Cards
If the card stops working due to a technical system error (and shows no signs of physical damage/misuse), the replacement will be provided free of charge.
Manual Logging during Replacement
While waiting for a replacement card, the employee must use the "Manual DTR Correction Form" and have it signed by their supervisor daily to ensure their hours are recorded.
